Planning a Conference in Malta: Organiser Checklist

A successful conference depends on dozens of small operational decisions. This checklist helps organisers structure the Malta planning process.
Venue and rooms
Confirm plenary capacity, breakout rooms, registration space, speaker preparation areas, exhibition requirements and accessibility.
Technical production
List screens, presentation feeds, microphones, stage requirements, lighting, recording, streaming and internet needs. Schedule technical rehearsals where appropriate.
Catering
Plan coffee breaks around the agenda rather than treating them as an afterthought. Confirm dietary requirements and how quickly the venue can serve the expected delegate numbers.
Delegate transport
Map hotel-to-venue transfers and any evening movements. Allow realistic boarding and loading times for larger groups.
Registration and signage
Make arrival obvious. Guests should know where to go without needing to ask staff at every turn.
Social programme
A welcome reception or gala dinner can provide the destination element that delegates remember most. Malta’s historic and waterfront settings work particularly well for this.
Contingency planning
Document weather alternatives, supplier contacts, medical procedures, late arrivals and decision responsibilities before event day.
